Privacy Policy

1. Who we are
MIKES (defencecal.com) is a curated catalog of defence, defence-tech and dual-use events and funding programmes. The service is operated by Miloxi, a sole proprietorship registered in Poland (the "data controller" for the purposes of the EU General Data Protection Regulation, GDPR).

2. What data we collect
We collect and process the following categories of data:
- Submission data. When you submit an event or a funding programme, we process the information you provide in the form, including an optional name or company name if you choose to be credited publicly, and an optional contact email used only to follow up on your submission.
- Email alerts. If you subscribe to alerts, we store your email address for the sole purpose of sending the updates you asked for. You can unsubscribe at any time via the link in every message or by contacting us.
- Technical data. Like most websites, our servers process IP addresses, browser type and request metadata in order to deliver pages, prevent abuse and rate limit automated traffic. Short-lived anti-spam counters are kept in memory and are not written to a profile.
- Analytics data. We use Google Tag Manager and Google Analytics to understand how the site is used (pages visited, approximate location, device type). This data is aggregated and does not identify you by name. See our Cookie Policy for details.
We do not collect special categories of personal data and we do not knowingly collect data from children under 16.
3. Why we process it (legal bases)
- Providing the service (Art. 6(1)(b) GDPR): processing submissions and delivering alert emails you signed up for.
- Legitimate interest (Art. 6(1)(f) GDPR): keeping the service secure, preventing spam and abuse, and measuring aggregate usage so we can improve the catalog.
- Consent (Art. 6(1)(a) GDPR): analytics cookies, where required. You can withdraw consent at any time through your browser settings.
4. How long we keep it
Submission records are kept for as long as the related listing is part of the catalog or its moderation history. Alert subscriptions are kept until you unsubscribe. Server logs and anti-abuse counters are short-lived and rotate automatically. Analytics data is retained according to Google Analytics retention settings.
5. Who we share it with
We do not sell personal data. We share data only with the service providers needed to run the site: our hosting provider (Railway) and Google (Tag Manager, Analytics). These providers process data on our behalf under their own data processing terms. Some providers may process data outside the European Economic Area; where that happens, transfers rely on the European Commission's adequacy decisions or Standard Contractual Clauses.
6. Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you,
- have inaccurate data corrected,
- have your data erased ("right to be forgotten"),
- restrict or object to processing,
- receive your data in a portable format,
- withdraw consent at any time, without affecting prior processing,
- lodge a complaint with a supervisory authority. In Poland this is the President of the Personal Data Protection Office (UODO), uodo.gov.pl.

7. Public event data
The catalog itself lists events and funding programmes: names, dates, venues and organisers. This is business information published by the organisers themselves. If a listing contains personal data you believe should be removed or corrected, contact us and we will review it promptly.
8. Security
We use appropriate technical and organisational measures to protect the data we process, including encrypted connections (HTTPS), access controls on administrative functions and minimal data collection by design. No method of transmission or storage is 100% secure, but we limit what we collect so there is little to lose.
9. Changes to this policy
We may update this policy from time to time. The date at the top of the page reflects the latest revision. Material changes will be visible on this page; continued use of the service after a change constitutes acceptance of the updated policy.
